You may have used Zoom before in order to have a virtual class or meeting; however, when it comes to the FLI Program’s online workshops, you may not know how it will work. This article will outline the expectations for you as a participant in these workshops. Click a section below to learn more:

Joining Zoom

The program officer will both email you and add the link to the online Zoom workshop to a Google Calendar invitation. You do not need to make a Zoom account in order to join the workshop; however, it helps if you do since you may be attending several per year. The Zoom link will look like this:

The numbers at the end of the link will usually be the same as the Meeting ID, which you will need to join the meeting. In the example, the Meeting ID is 123 456 789.

If this is your first time joining Zoom, please try one of the following ways at least 10 minutes before the workshop! This will make sure you do not miss any important information at the beginning of the workshop and avoid joining late.

There are 3 options by which to join the Zoom workshop:

  1. Computer + Phone*
  2. Mobile Phone
  3. Computer/Laptop

Computer + Phone

Joining with your laptop/computer’s video/screen and dialing in via phone call for audio:

*This is the recommended way to attend a workshop because the audio is the clearest and you can view the presentation in the best format
  1. Click on the link sent by the program officer
  2. This link will prompt you to either:
    • Run Zoom in your browser, or
    • Download and run Zoom on your computer
  3. You may select either option
  4. Once you do this, Zoom will prompt you to join audio by computer or by a phone call
  5. Select Phone Call (see right)

  1. You will see steps to dial in (hear the workshop) using your phone:
    1. Dial the first phone number provided (see above)
    2. Enter the Meeting ID when prompted on your phone and then hit #
    3. Enter your participant ID on your phone and then hit #
  2. Turn your microphone off on Zoom (see below) until questions are asked and you are prompted to turn it off if you want to answer or ask a question
    • If you have background noise, turning your microphone off during the workshop will allow everyone attending to hear the presenter. Leaving your microphone on will distract those who are trying to listen and learn

Mobile Phone

Joining with your mobile phone’s video and audio capabilities:

Join through the mobile Zoom app
  1. Click on the link sent by the program officer
  2. This link will prompt you to download the Zoom mobile app if you do not already have it installed
  3. Download the app or open the Zoom app and click “Join Meeting” (see right)
  4. Enter your name (if prompted)
  5. Zoom may ask for permission to access your microphone, camera, and storage: allow this
  6. Enter the Meeting ID (if prompted)
  7. Turn your microphone off (see below) until questions are asked and you are prompted to turn it off if you want to answer or ask a question If you have background noise, turning your microphone off during the workshop will allow everyone attending to hear the presenter. Computer/Laptop

Joining with your computer/laptop’s video and audio capabilities:

You may need to plug in wired earbuds with a mic or a headset with a mic
  1. First, check if you have a built-in microphone on your computer 
    • If you don’t, you can plug a headset or earbuds with a microphone to your device
  2. Second, check if you have a webcam built into your computer
    • If you don’t, don’t worry about this, the audio is most important
  3. Click on the link sent by the program officer
  4. This link will prompt you to either:
    • Click Start Zoom in your browser, or
    • Download and run Zoom on your desktop
  5. You may select either option
  6. Once you do this, Zoom will prompt you to join audio by computer or by a phone call
  7. Select “Audio by Computer”

  1. Allow Zoom to access your microphone (and video camera if you have one)
  2. Turn your microphone off (see below) until questions are asked and you are prompted to turn it off if you want to answer or ask a question

Participating in the Workshop

  • While you will be muted the majority of the time, please listen, take notes, and watch the slideshow (if available). The slideshows will be sent after the workshop.
  • When the presenter or program officer/moderator prompts the participants with a question or response, you may respond by either:
  • Unmuting yourself and speaking
    • Please don’t talk over anyone / wait your turn
    • The moderator or presenter might call on you when it’s your turn to speak

  • Typing into the Chat feature
    • At the bottom of your Zoom screen, you will see a speech bubble icon 
    • Click on this and a chat box will appear (see images below)
    • You may type your questions in the Zoom Group Chat box throughout the meeting and the moderator will address the presenter with the questions when there are breaks

Post-Workshop

  1. After the workshop concludes, you will receive an email with any post-workshop information including:
    • The Workshop Feedback Survey
      • Fill this out so the program can keep improving!
      • You can also fill in questions you may not have thought about during the workshop
    • The presenter’s contact information for further questions (if available)
    • The slideshow used (if available)
  2. Did you have issues joining the workshop?
    • Contact your program officer as soon as you experience issues
    • Try to exit and re-join the workshop if you are having issues hearing the presenter
    • Try another option of joining the workshop
  3. If you are more than 30 minutes late (without a valid excuse like technical issues), the workshop will not count toward your hours
